The role:

The Accounts Assistant, reporting to the Finance Manager will be part of the Reporting team. This team has responsibility for journal processing, processing of other transactions, review of costs and providing meaningful commentary/understanding to the wider team.

The Accounts Assistant will ensure all deadlines are met and submissions made in line with our external and internal obligations. All work must be thoroughly reviewed for accuracy, always maintaining a robust control environment.

Key Responsibilities:

  • Ensure invoices are approved in a timely manner.
  • Transactional management of bank accounts including the preparation and submitting of payments, effecting transfers, managing remittances, accurate and timely recording of all receipt and disbursement transactions into the accounting system and the reconciling of bank accounts.
  • Monitor receipt of funding requests against funding timetables and escalate promptly regarding any delays.
  • Detailed review and accurate coding of supplier invoices, timely investigation and resolution of any queries (debit balances, on-hold invoices, invoice authorisation rejections, invoice address corrections, overdue transactions) and matching of invoices to payments.
  • Reconciliation of supplier statements to prevent/identify instances of duplicate payments and resolution of differences.
  • Liaising with suppliers and customers (internal and external) to manage and resolve queries.
  • Ensure supplier invoices are paid according to their agreed terms.
  • Resolve and escalate significant issues (e.g. final demand letters, duplicate/late payments) promptly. 
  • Raise invoices for internal recharges, rental income/service charges and funding requests where necessary.
  • Ensuring the accuracy of customer accounts and ensuring all balances reflect the latest transactions.
  • Monitor sales ledger balances and resolve account problems to ensure timely settlement of debts due to the company.
  • Provide support where necessary to the wider team during monthly reporting and maintenance of balance sheet accounts/reconciliations.
  • Assist in system changes / maintenance eg cost centre/attribute/company set up.
  • Ensure all Weekly/Monthly KPI’s set both for the function and personally are achieved.
  • Participation in procedure reviews to ensure best practice and efficient working practices are being demonstrated.
  • Assist in monthly accounts preparation and balance sheet reconciliations as needed.
  • Assist in streamlining of recharge processes where necessary.

What We're Looking For:

  • Experience of managing and posting large volumes of transactions with a high level of accuracy.
  • Good working knowledge of double entry accounting transactions.
  • An understanding of banking procedures and experience of performing bank reconciliations.
  • Experience of performing detailed reconciliations and resolution of issues.
  • Experience of working effectively with external/internal customers/suppliers and appreciation of the impact of delays/errors on both.
  • Demonstrates excellent organisational skills to manage time effectively and meet objectives & deadlines.  Able to manage several tasks at any one time.
  • Experience of maintaining a strong control environment.
